Take the phone pressure off your front desk
Most inbound contact at a clinic is administrative: are you open Saturday, do you take this insurance, how much is a first consultation, can I move my appointment. None of it needs a clinician — and all of it interrupts one.
Administrative load, handled
Answers the admin questions
Opening hours, location and parking, pricing, what to bring, how to prepare. Trained on your own practice pages.
Fewer interruptions at reception
Every question answered in chat is a phone call that does not ring while somebody is being checked in.
Structured enquiry capture
Collect name, contact details and reason for enquiry in a controlled form, then follow up on your terms.
Nothing gets forgotten
Enquiries that need a callback become tickets with an owner, rather than a note on a pad.
55+ languages
Patients whose first language is not yours get the same clarity on hours, pricing and preparation.
Honest limits, by design
Configure the bot to decline clinical questions and direct people to a human — the right behaviour, enforced.
What a chat widget should not be used for
We would rather be direct about this. EasyChatDesk is not HIPAA-certified and we do not sign Business Associate Agreements. That means the chat widget is suitable for administrative and scheduling contact — and not for collecting symptoms, diagnoses, test results or any other protected health information.
- Configure the bot to refuse clinical questions and route to a person
- Keep pre-chat forms to name, contact details and appointment type
- Use it in front of your patient portal, never as a replacement for it
People book outside your opening hours
The moment somebody decides they need an appointment is rarely between nine and five. A chatbot that answers availability and pricing at 10pm, and captures the callback request, converts an enquiry that would otherwise have gone to whichever practice picked up first.
- 24/7 answers on hours, services and pricing
- Callback requests captured overnight and queued for the morning
- Proactive prompts on your services and fees pages
Frequently asked questions
Is EasyChatDesk HIPAA compliant?
No. We are not HIPAA-certified and we do not sign Business Associate Agreements. EasyChatDesk is appropriate for administrative contact — hours, location, pricing, appointment enquiries — and should not be used to collect protected health information. If you need PHI in chat, use a vendor that will sign a BAA.
What can a healthcare chatbot safely handle?
Opening hours, location and parking, services offered, fees and payment options, insurance acceptance, appointment availability, preparation instructions and general practice policies. Anything clinical should be routed to a person through a compliant channel.
Can it book appointments?
It can capture a structured appointment enquiry — name, contact details, preferred time, appointment type — and route it to your front desk. Booking into your practice management system happens on your side.
How does it handle patients who describe symptoms anyway?
You configure the bot to recognise clinical questions, decline them and hand off to a human with a clear message about the right channel. That behaviour is set once and enforced consistently, which is more reliable than hoping a receptionist remembers.
Is it GDPR compliant for a European practice?
We act as processor, offer a free Data Processing Agreement, and support deletion requests. Health data is a special category under Art. 9 GDPR with a higher bar, which is another reason to keep the chat widget to administrative contact only. See our GDPR page for the detail.
